Who we are

What we collect and why
- Orders: your name, phone, email, business name (if given), what you ordered, your collection slot and payment status. We use this to prepare your order, contact you about it and keep accounting records. Lawful basis: contract, and legal obligation for tax records.
- Callback requests and enquiries: your name, phone, email and message, so we can reply. Lawful basis: legitimate interests (responding to you) or steps before a contract.
- Trade account applications: business details, contact details and optional company and VAT numbers, so we can check your business and set up trade pricing. Lawful basis: steps before a contract.
- Card payments: handled by Stripe. We never see or store your full card details. Stripe’s privacy policy applies to the payment itself.
Who we share it with
We use a small number of processors to run the business: Vercel (website hosting), Stripe (card payments), our email provider (sending order confirmations and forwarding enquiries to our team) and Google (analytics, only if you accept). We don’t sell your data or share it for other companies’ marketing.
How long we keep it
Order and invoice records are kept for six years to meet HMRC requirements. Enquiries that don’t lead to an order are deleted after 12 months. Trade account details are kept while your account is active and for 12 months after your last order.
Cookies and local storage
- Basket (necessary): your basket is saved in your browser’s local storage so it survives a page refresh. It never leaves your device until you check out.
- Trade session (necessary): if you enter a trade code we set a secure cookie,
ukwfs_trade, for up to 90 days so trade prices stay on. - Cookie choice (necessary): we remember whether you accepted analytics.
- Analytics (optional): Google Analytics 4 cookies (
_ga,_ga_*) help us see which pages are useful. They only load if you click “Accept analytics”. You can change your mind any time with the Cookie settings link at the bottom of every page.
Your rights
Under UK GDPR you can ask to see, correct or delete the personal data we hold about you, object to how we use it, or ask us to restrict it. Email enquiries@ukwfs.com and we’ll respond within one month. If you’re unhappy with how we handle your data you can complain to the Information Commissioner’s Office at ico.org.uk.
